General Purpose of Job:

This position will completely and accurately enter paper invoices and verify freight data on the company system, and check reports for the department.

 

Duties and Responsibilities include the following.  Other duties may be assigned:

Ø  Complete and accurate data entry of paper invoices in company system with a minimum processing requirement of 2,500 bills per week

Ø  Verify freight data on the company system daily as directed

Ø  Check reports for accuracy

Previous Work Experience:

Normally twelve to eighteen months of previous work experience is required to meet job standards.

 

Education or Experience:

This position can possess less than a High school diploma or general education degree (GED); or twelve to eighteen months of related experience and/or training; or equivalent combination of education and experience. 

 

Language and Communication Skills:

The Data Entry Operator will possess the ability to read and comprehend simple instructions, short correspondence, and memos.  This position will write simple correspondence.  The employee will effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

Mathematical Skills:

This position will add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s.  The employee will perform these operations using units of American money and weight measurement, volume, and distance.

 

Reasoning Ability:

This position will possess a commonsense understanding to carry out instructions furnished in written, oral, or diagram form.  The employee will deal with problems involving several concrete variables in standardized situations.

This position requires occasional direction of one or two helpers or assistants with no direct supervisory responsibility.

 

  Confidential Data and Information:

The Data Entry Operator has little or no confidential data.

 

  Contacts and Communication:

This position requires contact with others within the department and with the Company.

 

  Independent Function and Judgment:

Work is performed in accordance with specific procedures but the employee must set priorities, organize and make occasional exceptions.

 

  Analytical Ability Required to Gather and Interpret Data:

  Some analytical ability require in order to gather and interpret data but in situations where   the problems are not difficult or complex.

 

  On-the-Job Experience:

 To attain satisfactory performance standards under normal supervision, three months to one year of experience on the job is normally required.

Work Environment:

While performing the duties of this job, the employee will frequently push buttons, answer phone, and handle materials or parts weighing up to 5 pounds.  This position will perform the job sitting or with intermittent standing walking.  The noise level in the work environment is moderate.

 

Vision requirements include close vision with close vision at 20 inches or less and the ability to adjust the eye to bring a job into sharp focus.  This position may experience a high level of visual fatigue due to the frequent interaction with computers.

Safety:Equipment and Related Materials:

The employee has a low level of responsibility for the equipment and materials used, the value of which is normally under $500.

 

Safety of Others:

Little caution or attention is required to prevent injury to other workers.



 

Associated Hazards:

The employee is not likely to have accidents and/or health hazards.  It is possible that the employee will receive minor injuries such as bruises, cuts, and burns, scratches or sprains.

 

Personal Protective Equipment (PPE) Requirements:

No PPE is require, however office furniture is addressed for any ergonomic related concerns.

 Other Requirements of the Job:

  Computer Proficiency:  Basic proficiency on e-mail, spreadsheet and word processing software required; must be able to view, read, and send e-mail; create, edit and print basic spreadsheets; and create, edit, and print documents.

 

  This position requires teamwork and personal interaction with others and supervisors.
