Department Secretary

We are a company of enthusiasts and have passion for our products! Yamaha has an opening for a Department Secretary to join our Motorsports Group! This position is based out of Cypress, CA. The Secretary will be responsible for assisting and supporting the Motorcycle Communications and Event Marketing departments with various projects. Individual will provide clerical, administrative and general office support to the departments or a group of professionals. Specific duties include, but are not limited to: •Assist with monthly executive reporting and budgeting materials. Preparemonthly schedule and manage billing with Agencies.•Assist dealers with the fulfillment of Point of Purchase and advertising materials. •Individual will support with media related events which will require travel. •Order and maintain office supplies. Key operator for general information systems. Order all letterhead and envelope supplies, business cards, notepads for the department. •Back-up other Motorsports Group secretaries on phone coverage, typing, filing, collation of manuals, mailings, etc. •Answer telephone calls and assist callers wherever possible or direct to the correct person for assistance. •Update Group voicemail system as necessary. Coordinate any updates/changes with IT to insure proper communication coverage for the Group.•Perform other duties as assigned. Requirements•High School diploma or equivalent work experience, college degree highly desirable. Plus a minimum of three years administrative/clerical experience, preferably supporting a Marketing Communications division. •Proficient knowledge of Microsoft Office applications (Word, Excel, PowerPoint), and Outlook. Ability to type 60-70 wpm. Strong calendaring skills. •Excellent organizational, customer service, and interpersonal skills. •Excellent judgment, verbal and written communication skills. •Must be very organized and able to work on multiple tasks and projects at one time.•Ability to operate standard office equipment, such as copier, scanner, and fax machine. •Must be self-motivated and able to effectively work in a team environment.•Ability to prioritize and perform primary duties with minimal supervision. •Must be professional and act discretely with highly sensitive and confidential information.•Approximately 10-15% travel required for this position.
