Global Lease Administrator
The Associated Press seeks a Global Lease Administrator for its New York City office.This position reports to the Director of Global Real Estate and Construction and will be responsible for the management of AP's domestic and international leases. RESPONSIBILITIES: Assist with the preparation of the annual budgets for: Rent, Operating Expenses, Parking, Utility and other bureau-related expenses. Monthly analysis and reconciliation of actual expenses against budget, including variation analysis and variance explanation. Review lease documents to identify key terms and conditions. Prepare lease abstracts for all new leases as required. Manage ProLease - the AP electronic data base for lease management) Ensure all lease information is accurate and timely. Perform the necessary updates to the ProLease database as leases are renewed or lease escalation clauses become effective.Create new ProLease records in database as required. Process invoices and recurring payment requests Investigate and resolve all invoice discrepancies to ensure accurate payments. Generate lease-related reports as requested or required by AP's management. Resolve rent discrepancies with property managers and landlords. Correspond with Landlords, property managers and bookkeepers when necessary.ADMINISTRATIVE Filing of documents in lease files, as required to maintain appropriate records. Review all invoices against purchase orders to ensure accuracy of payments. Code all invoices and payments in accordance with AP's established chart of accounts. Annual preparation of recurring rent documentation, including all applicable backup, in accordance with AP Finance and Accounting department. Track actual project costs against budget for AP projects. Prepare reports on GRE's travel and general expenses as requested or required. Maintain monthly invoice tracking spreadsheet.GENERAL Prepare reports, memos, meeting minutes and letters as directed. Provide professional and timely service to all inquires from internal or external sources.
QUALIFICATIONS: Bachelor's Degree in a real estate, finance or accounting area of study or equivalent experience required. 2 to 4 years experience with a real estate management or consulting firm, dealing in lease administration and property management. Working knowledge of ProLease data base - or similar electronic data base for management of commercial leases. Basic knowledge of real-estate leases and the ability to prepare abstracts of key terms and conditions. Basic knowledge of accounting functions as they relate to processing of invoices, budget preparation and reconciliations. Experience with Microsoft Office suite applications. Effective written and verbal communication skills. Excellent people and teamwork skills.
