Executive Administrative Assistant

The Executive Administrative Assistant is responsible for performing duties related to the high level functioning of the Dallas YMCA Association’s Human Resources and Risk Management offices. The duties include: Daily communication with branch staff to obtain information relating to incidents and accidents reports. Regular communication with Insurance Broker and Insurance company representatives regarding certificates of insurance and claims. Completion of weekly disbursement to ensure proper allocation of insurance costs. Thoroughly reviewing Criminal Background Records and disseminating results on a weekly basis. Assist with communications, all correspondence, scheduling, timelines, special projects, department budget management· Serve as initial contact and support to volunteers and branch executives regarding HR and Risk Management issues. Work with a variety of departments and branches in the YMCA answering questions and facilitating answers · Assist in preparation of reports, interviews, criminal background check appeals· Manage the department calendar· Areas of budgeting, staff relations and assist with calendar, scheduling events and working with Committees assigned to the Vice Presidents.   High School Graduate with minimum 3 years of Senior Management/Executive Administrative Assistant experience. Proficiency in secretarial skills such as typing (60-75 wpm), must be able to assist with, schedules, budget management, record keeping, and department billing and filing. This candidate must possess computer competencies in Excel, Access, Power Point, Word, and Outlook. The ability to be a self-starter, manage multiple tasks, be creative, reliable and resourceful is important. Candidate must be skilled in the area of communications and organizational planning and management. This position requires excellent human relations’ skills and the ability to work well with volunteers and staff team. Ability to work well with minimal direct supervision and must have exceptional organizational skills. Must have excellent written, verbal, and editing communication skills. This individual must be able to handle confidential and sensitive materials. Preferred experience of five plus years will be considered an added benefit.
