Accounts Payable Clerk

Basic Purpose:

Responsible for preparing, processing invoices and check requests, printing checks and proper reports in accordance with set policy through a centralized account payable system.

 

Principal Accountabilities:

1.  For inventory items this includes preparing invoices for payment, verifying billing amounts against purchase order and matching receiving reports.  For expense items, we check for open purchase orders or have to obtain appropriate department approval for payment. 

 

2.  Processing 1 check run weekly after receiving proper approval

 

3.  Coding monthly invoices (such as electric, phone, etc.) and expense reports for distribution to the proper general ledger accounts within appropriate company’s chart of accounts.

 

4.  Manage the keying of invoices into account payable system, pulling of invoices to match with checks and then filing of paid vouchers in paid files.

 

5.  Prepare monthly accrual of payables.

 

6.  Answers incoming inquiries related to accounts payable from vendors.

 

7.  Processes debit /credit memos as required.

 

8.  Verifies computer printouts for accuracy in the payable processes and that Sarbanes Oxley controls are met.

 

9.  Performs additional responsibilities as requested.

 

 

Requirements for the position:

  High School Education or Higher.

  Prior experience working in an accounting office environment.

  Typing/Key punching experience.

  Experience with ERP Accounting systems a plus.

  Excellent communication skills required.

  Ability to research problems and make decisions based on policies.

  Ability to keep large amounts of paperwork organized.

Working knowledge of PC and Microsoft family of software—Excel, Word, etc.
