Experienced Document Specialist
Position SummaryResponsible for coordinating word processing jobs, workflow process, and insuring that client work projects are produced in a timely and quality fashion consistent with committed deadlines and established quality standards for all off- site overflow DP service requests at the Wheeling location.Job QualificationsHigh school diploma or equivalent required. Educated to degree level, Associates degree or equivalent experience.Minimum of 3 years experience working in a word processing environment, preferably in a legal production environment.Advanced knowledge of multiple software applications including, Word, Excel and PowerPoint, Lotus Notes; Experience using Full Authority and tape transcription software.Proven ability to manage several tasks simultaneously with the ability to prioritize multiple assignments.Must be detail-oriented.Sound decision making ability within the framework of WL policy and site specific corporate policy.Solid written, verbal and communication skills.Excellent interpersonal and customer service skills required.Typing 80 wpm requiredSupervisionExercised: There are no supervisory responsibilities in this position.Received: Will report directly to, and receive guidance and direction from Regional Manager on day to-day responsibilities.Job Relationships (Internal/External)Internal: Constant interaction with all levels of Williams Lea employees, including senior executives, subject matter experts and functional support (e.g. finance, HR, IT)External: Frequent interaction with clients in which excellent communication, customer service and tact is necessary.Job Duties (* denotes “essential function”) Assist with coordinating and managing the workflow process for the off site overflow production services, including client site staff.Ensure proper workflow procedures are followed.Monitor long-term and ongoing assignments.Provide efficient word processing support to all clients, utilizing the standard formats.Convert and clean documents form other software applications.Create and produce document templates, charts, graphs, tables, etc, as needed.Use job tracking software to log in and out of all task assigned.Respond to customer inquiries in a timely manner. Provide feedback to supervisor.Leverage Williams Lea resources for off-site overflow DP tasks where possible.Assist with preparation and management of the MIR (Monthly Information Report) for all projects produced by the off-site overflow DP services.Working ConditionsProfessional work environment.
