Membership Assistant  

 

Royal Oaks Country Club, a private, exclusive country club in West Houston, is seeking a candidate with a minimum of one year experience in either the sales or hospitality fields. (Country club experience is preferred.) Ideal candidate is personable, outgoing, detail oriented, and organized. He or she must also be self-motivated and be comfortable with selling the Club to potential new Members.

 

SUMMARY

Work with Membership Director to market and sale memberships; Focus on strategies to retain current membership and to connect the newest Members; Build relationships with Members; Help in other Departments when necessary; Communicate effectively with the members on upcoming events and Club updates; Create marketing pieces for different business plans and membership programs

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

Follows all safety policies and procedures.

 

Establishes short-range and long-range programs to achieve membership enrollment goals by producing marketing pieces for specific programs for the club.

 

Answers incoming phone calls to membership office, assisting callers with information about the Club, giving directions, and/or directing the call to the appropriate personnel.

 

Welcomes visitors to the Membership Office, answering questions about the membership offering and touring facility if necessary.

 

Compiles and maintains prospect and member databases.

 

Responsible for tracking and assuring the complete enrollment of each new member and their family. Including completing the following task to set-up for New Member Orientation; send invitations, RSVP calls, and producing orientation material and promotional gifts.

 

Develops and implements membership retention strategies for the fist 6 months as a new member through appropriate public relations and marketing efforts. Including coordinating with Department Heads to complete 30, 60, and 90 day follow calls and assigning other task to Department Heads to promote Membership growth.

 

Produces promotional materials and other publications/communications to members and prospects including but not limited to; Weekly Email, Video Clips, Newsletter, Calendar Stuffer, Email-Blast, Pictures of Events.

 

Maintains inventory of all collateral materials.

 

Maintains and updates Royal Oaks website including updating Membership Directory and Department Sections.

 

Responsible for providing weekly New Member Updates to the Membership Committee and Board of Directors.

 

Assists Membership Director in planning special events, and mixers.

 

Assist Membership Director in coordinating and producing material for committee meetings by sending email reminders, printing agendas, and setting up for the meetings.

 

Responsible for coordinating with the HOA on contacting New Residents to promote membership sales. Responsible for creating and coordinating New Resident ‘Welcome Baskets’ to be delivered every month by a Membership Committee member.

 

Responsible for general administration including but not limited to; producing membership packets, mail-outs, and ordering general office supplies.

 

Responsible for attending at least one Member Event a month.

 

Responsible to work every Saturday.

 

Responsible for relieving Concierge when assistance is needed.

 

Develop knowledge in all areas of the Club through cross training in different departments including; Golf Shop, Food and Beverage (FOH), Catering and Events, Sports Club, and Concierge Service.

 

SUPERVISORY

This job has no supervisory responsibilities.

 

EDUCATION and/or EXPERIENCE

Minimum one year experience in related field required; sales experience with a proven track record preferred; experience in event planning, communications, journalism and/or marketing a plus.

Salary is commensurate with experience. Drug test & background check mandatory. EOE.
