OPERATIONS TECHNICAL ASSISTANT
JOB SUMMARY:
Serve as an Operations Technical Assistant for the Federal Security Services Division by assisting various Project Managers with day-to-day technical and administrative assistance. The Technical Assistant will ensure officers are qualified and eligible to work through monitoring and data entry using various electronic systems. The Technical Assistant will also maintain the compliance files and related tracking spreadsheets. Assist in identifying potential and actual issues with assigned MVM contracts.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
§ Assist with the collecting, distribution, and filing of all documentation stemming from assigned contracts.
§ Must be able to operate VISION systems and accurately enter and track employee data and qualifications.
§ Input numeric and alphanumeric data accurately and produce finished documents efficiently.
§ Create and/or maintain files in an organized manner, to include sorting, labeling, filing and retrieving, in accordance with MVM corporate, and field file retention and storage procedures; maintain confidentiality and security of records.
§ Participate in in-service and other training programs as required.
§ Establish and maintain a positive and professional working relationship with all clients and MVM staff.
§ Prepare communications and developmental materials and assist in assignments and other duties as required.
§ Develop, implement and/or maintain prescribed reporting formats and administrative procedures that promote effective and efficient communication links between the corporate headquarters and the client, and between corporate support elements and the contract employees at their respective field units.
§ Maintain information databases, as necessary, relating to the status of medical examinations, annual firearms qualifications, uniform issues and equipment purchases, and other contractual elements that warrant recurring oversight.
§ Operate a computer to facilitate administrative output to include initial drafts, graphics, revisions and integrated final products; perform routine files maintenance.
§ Proofread, edit and finalize documentation prepared by department members, consultants, and other contributors responding to assorted administrative requirements.
§ Other duties, tasks and responsibilities as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
· Strong interpersonal skills necessary to effectively communicate and coordinate with contract employees, staff members, senior managers, consultants, and clients.
· Ability to work efficiently and effectively with minimal supervision and direction.
· Ability to organize complex material in an efficient manner.
· Sound problem-solving skills with an affinity for detail, as well as intellectual depth, agility and creativity.
· Proficiency in all Microsoft Office applications to include strong word-processing skills and ability to create databases and spreadsheets.
· Demonstrated written and verbal communication skills coupled with ability to produce complete, clear, and concise communications; to include both oral and written forms.
· Using appropriate grammar, spelling and working knowledge of computer terms and standard industry acronyms, routinely compose and create documents from handwritten or typewritten copy to include letters, memoranda, reports, correspondence, forms, statistical data, etc.
· Capable of handling multiple projects simultaneously while prioritizing effort along strict time lines to ensure deadlines are met.
· Thoroughly, neatly and legibly complete required forms or records.
· Ability to undergo a favorable pre-employment suitability and/or security clearance investigation.
SUPERVISORY RESPONSIBILITIES:
The position has no supervisory responsibilities.
JOB QUALIFICATIONS:
1. Bachelor’s degree with 2-3 years prior experience in administrative field.
2. Candidates for this position must be fluent in English.
3. Knowledge of grammatical rules and protocols governing proper usage of the English language.
4. Strong organizational, interpersonal, and proper telephone etiquette.
5. Demonstrated written and verbal communication skills coupled with the ability to produce complete, clear, and concise communications; to include both oral and written forms.
6. Any similar combination of education and customer service experience.
7. Knowledge of MS Office and proficiency in Microsoft products.
8. Demonstrated initiative, flexibility, with the ability to effectively achieve staff operating procedures, forms, processes, business plan and strategies.
9. Demonstrated and/or customer service experience.
10. Be highly motivated, excellent time management skills, ability to stay on task and work with minimal supervision.
11. Ability to handle multiple projects simultaneously while prioritizing along strict timelines to ensure deadlines are met.
12. Preferable, at least one year of first hand experience involving customer relations or customer service to diverse clients or members of the public.
Standing/Walking/Mobility: Must have mobility to attend meetings and traverse the facilities with other employees.
Climbing/Stooping/Kneeling: 5% - 25% of the time.
Lifting/Pulling/Pushing: 25% - 49% of the time.
Fingering/Grasping/Feeling: Must be able to write, type, and use a telephone system 75% - 100% of the time.
Physical Dimensions: Medium work. Exerting up to 10 pounds of force constantly and/or up to 20 pounds of force frequently to move objects.
