Customer Service Assistant

Job FunctionAssistant provides support to the Customer Service Representatives (CSR's) through activities such as maintaining customer files and faxing paperwork to customers.  Helps to ensure accurate and timely order processing by conducting a final audit of all order confirmations.  Provides reports and other info to CSR's to help them manage open orders more effectively.

Principal Job Accountabilities     •Support Customer Service department order processing.  Fax or e-mail order acknowledgements; conduct final audit of all orders entered; check orders that shipped previous day; assist with export order paperwork; check e-mails and voicemails for any CSR who is acting as a back-up for another CSR. •Perform administrative duties as needed. This includes filing of customer order records and preparing customer file folders; timesheet management and tracking leave allotments; mail distribution; scheduling department meetings and training sessions as requested.  Manage office supply inventory for department; purchase office supplies and other items using procurement card as directed by supervisor. •Provide reports and order-related information to improve open order management within the department.  Monitor inbound products purchased from Essen and advise CSR's of status.  Provide back-up for activities performed by Receptionist for the customer service department when the Receptionist is out. These include preparing the daily open order reports, review of invoices and mailing of invoices. •Provide coverage for the front desk as part of the relief pool at 6th Ave.  

Minimum Job RequirementsHigh School Diploma or equivalent or Associates Degree or Training Certification in related area. Works from established guidelines and procedures under general supervision.  Requires excellent communication skills, analytical skills and organization skills.  Ability to reliably identify differences in written information when comparing information from two sources. General knowledge of and/or the ability to learn a variety of computer software applications in word processing, database, and presentation software (MS Word, Excel, Access, PowerPoint, CRM, SAP)
