Corporate Administrative Support
First Sound Bank is seeking a motivated individual to fill a multi-faceted administrative support function. Applicants should be able to work independently and manage multiple tasks efficiently. Accuracy and attention to detail are essential. Reliability and organizational skills are key; plus a willingness to take on all kinds of tasks.
Experience:
5-7 years of general office management or high level administrative experience. Prior banking experience is a plus. Strong technical skills including familiarity will all types of standard office machinery.Exceptional PC skills including, Outlook, Word, Excel and Access
Job Duties:
HR Clerical/Support – maintain attendance records, coordinate employee benefit set-ups/terminations, responds to all basic HR related inquiries, posts any open positions to appropriate web-sites (intranet).
Board & Committee Administration – collating and sending monthly board packages, maintaining all corporate documentation, preparing board reports as needed.
Shareholder Support – Facilitate all stock certificate requests; manage all proxy or shareholder mailings, request any shareholder reports as needed from appropriate vendors.
Event Coordinator – Assist management with coordination and execution of all bank events including board meetings, annual shareholder meetings, holiday functions and golf tournaments.
Supply Ordering – Monitor and maintain all office and marketing supplies for the bank. Coordinate all customer printing orders including business cards. Organize and manage the main supply room.
Executive Administrative Support – assist executive management with various projects and clerical items as needed.
Staff Training Documentation – maintains staff training records, monitors training calendar, tracks departmental training budgets
All types of clerical support – filing, binder organization, updating spreadsheets, preparing letters, etc.
