Administrative Coordinator - Insurance & Procurement

We have a great opportunity on our Business Services Team for an Administrative Coordinator specializing in Insurance and Procurement. Reporting to the Corporate Services Manager, this position is responsible for administering CFC’s corporate insurance programs, overseeing procurement practices, and providing functional supervision to the Business Resources support staff to facilitate efficiency and effectiveness of the team.
Essential Functions include:
Administer and maintain corporate insurance risk management program to include:
· Gathering and preparing data necessary for timely and accurate submission of all insurance renewals.
· Work with brokers to create an effective budget for insurance premiums in each upcoming fiscal year.
· Accurate and efficient handling and filing of current and past policies and records.
· Managing and coordinating relationships with insurance brokers, in-house legal staff, financial staff and Insurance Steering Committee.
· Respond to inquiries regarding our coverages and programs.
· Process claims.
· Review invoices and process payments.
· Track, review and monitor policies and endorsement for accuracy.
· Provide Certificates of Insurance to field staff and various other entities when requested.
· Assist in the creation of reports and presentation materials.
· Maintain schedules of insurance program and associated insurance costs.
· Posting of current insurance documentation on corporate intranet for select viewing.
· Maintain disaster recovery documentation as it relates to CFC’s insurance program.
Administer CFC’s corporate procurement program (PuRPOSe) to include:
· Daily processing of Purchase Requests and the documentation of processes, practices, and procedures.
· Coordinate the establishment and renewal process of Blanket Purchase Orders.
· Maintain paper library of past Purchase Orders according to document retention schedule.
· Manage CFC’s Purchasing Authority Delegation list.
· Provide reporting of fixed assets and disposals to Accounting on a monthly basis.
· Work with internal audit during internal auditing process and follow set practices and procedures so as to adhere to Sarbanes Oxley and internal audit guidelines.
· Assist in the coordination of purchases of CFC owned automobiles, maintain fleet records, and provide payment of property taxes, registration renewals, decals, etc.
· Maintain DR/BR Plan for Procurement.
Provide day-to-day guidance to the Business Resources administrative staff to ensure excellent customer service is provided to internal customers and to efficiently utilize allocated resources.
Manage CFC’s automobile fleet, working with the RVPs and other executives to procure appropriate vehicles, ensure insurance and registration is current and to assess the best automobile choices for corporate use.
Administer the corporate credit card program to ensure that appropriate documentation is provided, timely payments are made and monthly reconciliations are conducted. Job Requirements Minimum Education: & Experience:
College degree preferred. 4 years of experience with at least 2 years working in a corporate risk management role, responsible for overall corporate risk program and procurement practices. Knowledge of various insurance policies, exposures, retention levels, etc.
Desirable Knowledge & Experience:
Experience working with and directing insurance brokers and communicating with upper management.Working knowledge of all office services, to include procurement, telecommunications, and space planning.
