Warranty Administrator for a Service Department

Are you detail-oriented?  A perfectionist?  Do you work quickly and efficiently?  If so, you may be the Warranty Administrator we are seeking!



 

Duties: Summarize mechanics’ reports into a coherent work description on the invoice and/or claim Review and close work orders on a continuing basis with approval of manager Prepare and file claims in accordance with manufacturer requirements and timelines Input expenses for parts, labor, outside purchases, and travel expenses into work orders Assist in parts counter sales Receive, unload, and put up parts shipments – Some lifting required! Assist in gathering and shipping of parts for special parts returns and in support of warranty claims.

 

Responsibilities: Timely closing of Work Orders Timely filing of Warranty Claims Assure accuracy of billing based on information provided by service personnel Completeness of billing – check that everything is accounted for & there are no forgotten charges Able to detect work order discrepancies Match chargeable hours against payroll hours Assist with physical counts of the inventory

 

Skills Required:

  Clerical - touch typing, filing, data entry, basic spreadsheet, e-mail, fax, etc. Organizational – organize and prioritize tasks, work on a schedule w/ deadlines Good verbal and very good written communication skills Customer relations Attention to detail and follow-up Relationship Building - ability to work well with others in different job positions, customers and vendors Mechanical Aptitude - broad knowledge of mechanical/auto/equipment sales and service 

Experience Desired: Completion and submission of warranty claims under tight guidelines Time & Materials billing for work of other employees Estimating and describing repairs or mechanical work requirements Ordering spare parts from vendors for use on specific repair jobs or for counter customers or returning unused parts back to stock or factories
