Payroll/Student Accounts Clerk
Southern California University of Health Sciences (SCUHS), a scientifically advanced school for chiropractic and acupuncture/oriental medicine, is seeking a energetic and experienced payroll professional for the position of Payroll/Student Accounts Clerk.
This position will provide a variety of payroll support services to include the collection of student tuition and fees, and maintenance of student accounts.
Payroll Duties:
· Maintains payroll information for faculty, staff and student accounts for the University under general supervision.
· To examine personnel and payroll documents to determine if they have been properly authorized and associated payments and deductions are made as authorized.
· To assure the legality and propriety of the university payrolls and pension payments by verifying their conformance to federal and state laws, personnel rules, contractual agreements and administrative regulations.
· To provide service as required, e.g., advice and instruction to various employees and campus offices concerning the proper processing of payroll forms, late paperwork, lost paychecks.
· To operate computer hardware in order to update and/or maintain university payroll data.
· To correct erroneous payroll payments and update computer files with such corrections.
· To maintain accrued hour balances, which includes annual, sick and personal leaves, and to make any required adjustments to correct such balances as needed.
· To calculate and deposit on a timely basis employment and withholding taxes related to the college/university payrolls.
· To assist in the preparation and issuance of calendar year-end wage and tax statements (W2s) for the college/university payrolls, 1098, 1099, 5498 and/or W-2G
· To calculate corrections to wage and tax statements (W2s), and request copies from the state as needed.
· To pre-audit and/or post audit various types of payments and/or reimbursements to university employees. Calculate 403B, Pension Contributions. Enter and track garnishments, child support and tax levies.
· To calculate and prepare check change forms for return of salary overpayments to correct cash with state, internal account information, and individual year-to-date records.
· To calculate and process retroactive adjustments to distribution of salary and fringe charges to the university's accounting system.
· Knowledge of all state, federal, local laws and regulations as well as SCUHS policies and procedures.
· Sort paychecks and direct deposit statements and prepare checks for pick up, or mail out.
Student Accounts Duties:
· Maintain Federal Work Study Payroll on Ceridian Payroll System
· Collect tuition, fees, and payments.
· Process emergency loans.
· Maintain records of student payment activity (computer input and paper records), assist with payment plans and prepare day end transaction report.
· Reconcile student accounts monthly, identifying past due accounts and contact students through various sources for collection.
· Assist with accounting functions as required.
