Job Description
We are looking for an experienced administrative professional to join our staff and manage the details of a very busy office with multiple executives. This is a new position, so the candidate needs to be a self-starter with the ability to take charge and help develop and define the role and establish the systems to organize and manage the activities within the office.

Responsibilities:Provides administrative support to the executives and their teamsCollaborates with executives to assist in accomplishing goalsHandles details of a highly confidential nature and maintains confidential records and reportsCoordinates and maintains executive’s appointment calendars, schedules conference calls, meetings and makes travel arrangementsResponsible for general administrative tasks such as presentations, correspondence, filing, travel & expense reports, phone support, etc. Reads mail, highlights action or important items, attaches relevant files or information, and assumes responsibility for responding when appropriateResearch, editorial support and manages special projects as assignedGenerates monthly metrics and reportsCollects, compiles, and analyzes data and information from several sources for reports, projects and committeesPrepares information for use in discussions/meetings of executive staff and outside individualsResponsible for event planning of periodic offsite meetings (prepares agenda, presentations, coordinates with hotels for necessary set-up, etc.)Demonstrates knowledge of Firm policies and procedures by answering, referring or directing requests and inquiriesMakes high level contacts of a sensitive nature inside and outside the FirmVarious other assignments and responsibilities as needed
Qualifications:Strong work history with 5+ years experience as an executive assistant Background in Legal, Financial or Accounting industries would be idealProfessional demeanor and ability to interface with the partner groupA high level of personal integrity and professional ethics The ability to exercise good judgment and discretion to deal with highly confidential informationExcellent written and oral communication skills Superior organizational skills with an exceptional attention to detailAbility to prioritize and manage multiple projects, work quickly and efficiently under pressure Highly developed skills with Microsoft Office including Word, Excel, Outlook and Power Point (Acrobat a plus)Enjoys working with numbers and creating reports and spreadsheets using ExcelStrong interpersonal skills; a team player Must be assertive and able to speak up when necessary and ask questions as appropriate Forward-thinking with the ability to take initiative and to stay a step aheadDemonstrated ability to approach challenges with flexibility and a “can-do” attitudeCollege degree highly preferred
